Privacy Policy

BabbleHQ (“we”, “us”) provides club operations software on the web and in the BabbleHQ iOS app. This policy describes the information we collect, how we use it, and the choices available to clubs, coaches, parents, and players.

Who this covers

BabbleHQ is used by travel clubs and the people connected to those clubs: owners, staff, coaches, guardians, and players. Club administrators and guardians enter most roster and family information. Some players also have their own login.

Information we collect

Accounts. Name, email address, hashed password, last sign-in time, and, if you use them, Google or Apple account identifiers. We keep session cookies so you can stay signed in.

Club operations. Organization and team records, staff roles, schedules, RSVPs, announcements, lineup cards, branding (name, logo, colors), and related activity.

Players and families. Clubs and guardians may store player names, date of birth, photos, jersey numbers, positions, eligibility labels, tryout registrations, guardian phone numbers and emails, billing-contact flags, invoices, and StatHawk stats. This often includes information about minors. Clubs and guardians are responsible for having a lawful basis (including any required parental consent) before they provide that information to BabbleHQ.

Payments. Platform subscription status, coupons, and club-dues invoices. Card payments are processed by Stripe. We do not store full card numbers. Club dues collected through Stripe Connect are charged by the club; we may record invoice amounts, payment status, and a transaction fee line.

Notifications and devices. Email delivery, notification preferences, and native push tokens (APNs on iOS, FCM on Android) for devices that register for alerts.

Support. Messages you send to [email protected], and diagnostic information our staff may see if they impersonate your account to debug a problem.

How we use information

  • Operate the product: rosters, schedules, dues, announcements, stats, and public team pages.
  • Authenticate you with email and password, Google, or Apple.
  • Send transactional email (invites, invoices, password resets, RSVP reminders) and optional push notifications.
  • Bill platform subscriptions and, when enabled, collect the BabbleHQ transaction fee on club dues.
  • Secure the service, prevent abuse, and monitor reliability.
  • Respond to support requests.

We do not sell personal information, and we do not use advertising pixels or third-party marketing cookies on these pages.

Public team pages

If a club turns on a public team page, anyone with the link can see team details the club chooses to publish. That can include player names and photos, schedule, opponent, uniform notes, and location names or map links. Clubs control whether that page is enabled.

Who we share information with

We share information with:

  • The club that invited you or created your record, and other members of that club according to their roles.
  • Service providers that help us run BabbleHQ: Stripe (payments), Google and Apple (sign-in), Expo (push notifications), Cloudflare (email), and our hosting and monitoring providers (including Laravel Nightwatch when it is enabled).
  • Authorities when we believe we must in order to comply with law or protect people using the service.

Support staff may temporarily impersonate an account to reproduce a problem, then stop impersonation when they are done.

Cookies

We use essential session cookies so the website and app can keep you signed in and remember CSRF protection. We do not set advertising or analytics cookies today.

Children

BabbleHQ is a club operations product. Club-owner accounts are for adults. Information about athletes under 18 is provided by clubs and guardians, not collected from children as a consumer-facing kids’ app. If you believe we have information about a child that should not be in BabbleHQ, email [email protected] and we will work with the club to correct or remove it.

Retention, access, and deletion

We keep account and club records for as long as the club uses BabbleHQ and as needed for billing, security, and legal obligations. You can correct much of your profile and notification preferences in the product. To request access, correction, or deletion of an account, email [email protected]. Account deletion is handled by BabbleHQ staff or a club administrator; related records such as invoices or roster history may be reassigned or retained as needed for the club.

Security

We use encryption in transit, hashed passwords, and access controls. No method of transmission or storage is completely secure. Tell us at [email protected] if you believe your account has been compromised.

Changes

We will post updates to this page and change the effective date. Continued use of BabbleHQ after a change means you accept the updated policy.
